Generic CRM docs treat your business like every other business. We don't. Each guide below shows the exact pipeline structure, custom fields, activity types, and lead statuses that make sense for your industry — plus a component utility matrix showing which Interface365 features matter most for you, and which you can safely skip. Every guide is paired with a live walkthrough that watches one real deal flow through, end-to-end.

Live walkthroughs
The setup guide tells you what to configure. The walkthrough shows you what it looks like when a real deal moves through — every form, every status flip, every webhook payload, every dashboard refresh. Same 12 industries, told as 15-step stories. Read whichever one mirrors your sales motion most closely; you'll see the exact moments where Interface365 earns its keep.
Quick start (5 minutes)
The fastest way to get a feel for Interface365 is to actually use it. Here's the path from signup to your first logged deal:
Sign up & invite your team
Create your workspace at interface365.iface.io/register. Add teammates by email — they're in within 60 seconds.
Pick your industry template (or build from scratch)
During onboarding we suggest a pipeline structure based on your industry. Skip it if you'd rather configure manually — every stage, field, and activity type is fully editable.
Add custom fields you actually need
Go to Settings → Custom fields and add the data points specific to your business. Apply one field to multiple entity types in a single click.
Log your first deal
From the dashboard, click + New deal. Fill in the basics, drag the card across stages as the deal progresses. Your forecast updates in real time.
Core concepts
A grounded reference for the data model. Six grouped tables. Skim once before designing custom fields and you'll save yourself a refactor. Each sub-section is anchored — deep-link to anything.
Records — the data model
The nouns of the CRM. The things you create, link, and track.
| Concept | What it is |
|---|---|
| Pipeline | An ordered series of stages for a workflow. One workspace can have many — separate sales pipelines per region, a delivery pipeline for projects, a renewal pipeline. Each pipeline applies to either Deals or Projects (not both). |
| Stage | A step in a pipeline (Discovery / Proposal / Won). Each stage carries a probability % that drives weighted forecasting, plus optional flags: Won, Lost, or On Hold (mutually exclusive). Every pipeline must have at least one Won, one Lost, and one active (non-terminal) stage. |
| Lead | An unqualified prospect. Has a Lead Status (New / Contacted / Qualified / etc.) and a Source. Once qualified, a single click converts it into a Contact + Company + Deal — no retyping, all linked. |
| Contact | An individual person. Linked to one Company (optional) and any number of Deals + Projects via junction relationships, where each link can carry a role (Decision Maker, Champion, Influencer, Technical, Gatekeeper, End User, …) and an is_primary flag. |
| Company | An organization — the contact's employer or the buyer in B2B. One company links to many deals, contacts, projects, quotes. |
| Deal | An opportunity moving through a sales pipeline. Has a value, currency, owner, expected close date, and optionally line items (products × qty × unit price × discount × tax). |
| Project | Post-sale delivery work, parallel to (but separate from) the Deal that funded it. Has its own pipeline (typically Kickoff → Build → Review → Delivered). One Deal can spawn many Projects, or zero — depends on your motion. |
| Quote | A priced proposal sent to a contact. Has a quote number, a validity window, and quote items. Lifecycle: Draft → Sent → Accepted / Declined / Expired. Accepted quotes can be converted into Deal line items in one step. |
| Product | A catalog entry — the things you sell. SKU, unit price, default tax rate, currency. Used as the Product side of line items on Deals and Quotes. |
| Task | A to-do, assigned to a teammate. Optionally linked to any record (lead, contact, company, deal, project, quote). Has due date, priority (low / medium / high), and status (pending / in-progress / completed). |
| Activity | A logged interaction — call, email, meeting, demo, site visit. Activity types are configurable per workspace. Activities form a chronological timeline on every record. |
| Note | A free-form text note on a record. Different from an Activity — no type, no contact metadata, no calendar slot. Just a thought in the margin. |
| File | An attachment. Polymorphic — a file can attach to any entity (lead, contact, company, deal, project, quote, task, email). Storage counts against your plan's MB quota. |
Customization — bend the model to your business
The seven configurable layers. Defaults work for most teams; admins extend them in Settings.
| Concept | What it is |
|---|---|
| Custom field | A data point you define beyond defaults. 14 field types (text, number, currency, dropdown, multi-select, date, URL, email, phone, checkbox, percent, country, multiline, JSON). One field can apply to multiple entity types in a single click — create "Industry Vertical" once, attach it to Leads + Companies + Deals. |
| Activity type | A configurable category for activities. Defaults: Phone Call, Email, Meeting, To Do. Add your own (Site Visit, Demo, Onsite, Walkthrough …) with custom icons from a 26-icon palette. The "counts as interaction" toggle controls whether it bumps the last-activity timestamp on linked records. |
| Lead status | A workflow state for leads. Each status has a color. Admins reorder, rename, retire. One status is the workspace default for new leads. Used heavily on filters and reports. |
| Contact type | Potential Customer / Current Customer (defaults). Configurable per workspace. Drives different motions — e.g., "renewal_due" workflows on Current Customers only. |
| Loss reason | Why a deal was lost (Price / Competitor / Timing / No budget / Internal change). Required when moving a deal into any Lost stage — drives loss-rate analysis on the dashboard. |
| Source | Where a lead came from (Website / Referral / Outbound / Trade Show / Partner). Drives source-attribution reporting. One source is the workspace default. |
| Tag | A free-form label on any record, color-coded. Tags are scoped per entity type — Lead tags ≠ Deal tags ≠ Contact tags. Filterable on every list page. |
People, teams & access
Interface365 has both role-based permissions (what someone can do) and per-record visibility (which records they can see). The two combine multiplicatively — a Sales Rep with "view all deals" still won't see a Deal whose visibility is set to owner by someone else.
| Concept | What it is |
|---|---|
| User | A person with a login. Created via email invite from an admin. Each user has exactly one role + zero or more team memberships. |
| Team | A grouping of users — "West Coast AEs", "EMEA Strategy", "Implementation Pod". One user can belong to many teams. Teams power Team-scoped record visibility (see below). |
| Role | A permission bundle. Five defaults: Account Owner, Admin, Manager, Sales Rep, Read-only. Each role bundles ~50 granular permissions across modules (Leads, Contacts, Companies, Deals, Projects, Quotes, Settings). Custom roles are supported — clone a default, tweak permissions, save. |
| Permission | A specific capability gate (e.g. "view deals", "edit own contacts", "delete companies", "manage settings"). Each permission is granted at one of three scopes: All (every record in workspace) / Team (records visible via team membership) / Own (records owned by you only). |
| Visibility | A field on every record (Lead / Contact / Company / Deal / Project / Quote) controlling who can see it, independent of role. Three values: Everyone — anyone in the workspace; Team — owner + members of any team the owner belongs to (default); Owner — only the owner (and admins). Set on creation, editable later by the owner or an admin. Admins always bypass. |
| Account owner | The single user who created the workspace. Owns billing. Cannot be deactivated. Ownership transfer is an explicit action in Settings. |
| Admin | A user whose role grants admin permissions. Multiple admins per workspace. Admins manage Settings, invite users, configure roles, and bypass per-record visibility. |
Money & multi-currency
Multi-currency is built in, not bolted on. Every deal can be in its own currency; rates are frozen at close so historical totals don't drift when FX moves.
| Concept | What it is |
|---|---|
| Base currency | The currency your dashboard rolls up in. Set once per workspace (default USD). Every dashboard, leaderboard, and forecast uses the base. |
| Per-deal currency | Each Deal stores its own currency + exchange rate to base. A British rep can sell in GBP while the workspace base is USD — totals on the deal stay in GBP, dashboard totals roll up in USD. |
| Exchange rate (locked at close) | The conversion factor from a deal's currency to base. Editable while the deal is open. Locked the moment a deal moves to Won or Lost — so historical "Q3 closed-won total" doesn't change every time the spot rate moves. |
| Line item | A row on a Deal or Quote: quantity × unit_price × (1 − discount %) × (1 + tax %). Inherits currency + exchange rate from the parent — you never pick currency on a line, the deal owns it. |
Extensibility — APIs, webhooks, views
The CRM ships with a first-class REST API and webhooks. Saved + default views let admins enforce a workspace-wide column layout while still letting individuals customize their own.
| Concept | What it is |
|---|---|
| API key | A token for calling Interface365's REST API. Tenant-scoped, named, revocable. Each key carries a scope allowlist (specific modules — e.g. "Leads + Contacts + Webhooks"). Usage is tracked per-key (last_used_at, request count) and counts against your plan's monthly API limit. |
| Webhook | An outbound HTTP POST when an event happens (deal.won, contact.created, quote.accepted, …). Signed with HMAC-SHA256 so receivers can verify authenticity. Failed deliveries are retried with exponential backoff, and every attempt is logged in the Webhooks settings UI. |
| Saved view | A named filter + sort + column-layout snapshot for a list page. Personal by default, shareable with the workspace. Power users can have many — "My open deals", "Stagnant 14+ days", "Renewals due Q4". |
| Default view | An admin-set column layout that becomes the default for everyone on a list page. Per-user changes never affect anyone else — your column-picker tweaks land only in your own preferences. Admins update defaults; others just inherit them as a starting point. |
Subscription & limits
Three plans, every limit on the website. Trials evaluate as Professional so you can test every feature before deciding.
| Concept | What it is |
|---|---|
| Plan | Starter ($19/seat/mo) / Professional ($49) / Business ($99). Each defines its limits + feature set. No "contact sales" tier; full pricing on /pricing. |
| Trial | The first 14 days of a workspace. Trial workspaces evaluate as Professional regardless of plan field — every feature unlocked, so you can test webhooks, custom branding, multi-currency, projects without committing. Status auto-transitions when the trial ends. |
| Plan limit | A hard cap, enforced automatically: seats, contacts, custom fields, pipelines, API calls per month, storage MB. Hitting a creation limit returns a friendly 422 with an "upgrade" CTA. Hitting the API rate limit returns 429. |
