The engagement

Prepping a Series B fundraise · Need a brand refresh + new website + 3-month launch retainer · ~$120K total budget
01
Step 1

Inbound lead capture

Marcus Hayes (Founder of Maverick) gets a referral from a former client: Nina Walsh, CMO at Helio Health, is prepping a Series B fundraise and needs a brand refresh + new website. Nina submits a project-inquiry form on maverickstudio.co the same day. Interface365 captures the lead with full source attribution to the past-client referral. Marcus routes the lead to Jasmine Reed, Maverick's Account Director — Jasmine becomes the deal owner; Marcus stays in the loop as senior sponsor.

Why this matters →Form submissions auto-capture with UTM source, route to an owner, and never live in someone's inbox.

How it gets there: The website's form posts to Interface365's webhook endpoint with the lead payload. Because Nina selected Marcus Hayes from the "How did you hear about us?" dropdown, the matching Source ("Past-client referral") is configured under Settings → Sources, so attribution to Marcus (a past client) is automatic — and Marcus's referrer-credit ledger updates in the background. New leads land assigned to the on-call producer (round-robin via owner-assignment rule).
02
Step 2

Qualification call & lead enrichment

Jasmine calls Nina within an hour, qualifies the requirement, and enriches the lead record with custom fields. The lead status flows New → Contacted → Qualified.

Why this matters →One call, three custom fields filled, status flipped — the record is now pipeline-ready without any retyping.

Discovery call · 22 min · Jasmine Reed
Nina walked through the brief: Helio's brand is 5 years old, rushed visuals from the seed-stage launch. Series B pitch is in 6 months, deck visuals are embarrassing. Wants brand identity refresh + new website + 3 months of launch retainer post-go-live. Decision committee: CMO Nina + CEO Robert Park + Brand Lead Ava Stein. Strong fit — DTC supplements is in our wheelhouse.

Lead conversion — one click, three entities

With the lead qualified, Jasmine clicks Convert. Interface365 creates a Contact + Company + Deal all linked, and links them together.

Why this matters →One click creates Contact + Company + Deal, all linked. No retyping, no orphaned records.

Step 4

Deal enrichment — buying committee, custom fields, tags

Agency engagements at this scale involve a small client team — champion, sponsor, day-to-day counterpart. Jasmine adds the CEO and Brand Lead as additional contacts on the deal with explicit roles.

Why this matters →Multi-contact deals with explicit roles model real buying committees natively — not as comma-lists in a notes field.

Step 5

Activities, notes & files — the full deal context

Over the next two weeks, Jasmine logs every interaction. Discovery calls, studio visits, internal notes, and uploaded documents all live on the deal record.

Why this matters →Every interaction, decision, and document lives on the deal — not scattered across email, Slack, and Drive.
Activity timeline
Discovery call — Helio team· Mar 12 · 60 min
All 3 stakeholders attended. Nina (CMO) walked through brand pain. Robert (CEO) emphasized the Series B timeline. Ava (Brand Lead) flagged that they need ongoing support post-launch — opens the door to the retainer leg.
Studio walkthrough + portfolio review· Mar 14 · 50 min
Nina + Ava came to the studio. Walked through 3 comparable DTC engagements (Glow Naturals — the referrer — and 2 supplements brands). Robert joined remotely for the last 15 min and asked about timeline confidence.
Email — Capabilities deck + DTC case studies· Mar 14
Sent to all 3 stakeholders. Robert opened twice within an hour. Ava forwarded to her Head of Growth and the in-house designer.
Scope alignment call — Nina· Mar 18 · 22 min
Nina shared their Series B narrative deck pitch and a budget envelope around $120K total. Walked through scope priorities: brand identity is non-negotiable, website redesign is critical for the pitch, retainer is "would-be-nice" if budget allows. Jasmine takes notes for the SOW draft.
Internal notes
A Jasmine Reed
Mar 14
Nina is the decision driver, Robert (CEO) is the final approver but he's hands-off. Ava (Brand Lead) will be our day-to-day post-Won — we should send portfolio + Glow Naturals case study + a sample retainer scope this week.
D Marcus Hayes (Manager)
Mar 15
Hold the rates — Helio is a high-fit DTC brand and the past-client referral telegraphs they'll respect our pricing. If they push, offer to phase the retainer (start month 2 instead of month 1) — preserves the fee and gives them cashflow optionality. Don't go below $121K total.

Step 6

Tasks & follow-ups — never let a thread drop

Tasks attach to the deal with priority, due dates, and assignees. Polymorphic — they can also attach to contacts, companies, or projects.

Why this matters →Polymorphic tasks (deal / contact / company / project) with priority + due-date — follow-ups stop slipping.

07
Step 7

Pipeline progression & stagnant alerts

As the deal advances, Jasmine drags it through stages. If activity drops for 14+ days, Interface365 flags it as stagnant and surfaces it on the dashboard.

Why this matters →Drag-drop stages with weighted forecast, plus stagnant alerts that flag idle deals before they die quietly.

Forecasting math: Weighted forecast = deal value × stage probability. $121K × 65% = $78.65K weighted. As the deal advances Proposal Sent → Negotiation → Won — Signed, the weight climbs — and so does the studio's projected billings + cashflow plan.
08
Step 8

Product catalog (listings & services)

Maverick's catalog of standardized service packages, hourly rate cards, and retainer tiers — with lifecycle states (Active, Draft, Retired) so old rate sheets don't pollute new SOWs.

Why this matters →A pricebook with lifecycle states (Active / Draft / Retired) — old rates can't accidentally land on a new quote.

Step 9

SOW creation — hybrid project + retainer SOW

Jasmine assembles a formal Statement of Work pulling service packages + retainer tier from the catalog. Fees are snapshotted at the moment of creation — future rate-sheet changes won't retroactively affect this engagement.

Why this matters →Hybrid SOWs (one-time project + monthly retainer) with snapshot pricing — generated in minutes, not the half-day every agency loses to Word/Google Docs hell.

If Maverick raises the Brand Identity Package next quarter from $35K to $40K, this engagement keeps its $35K economics. The currency (USD here) is also stamped on every line — even if Helio later asks for an EUR-denominated invoice, this SOW stays in USD.
10
Step 10

Quote lifecycle — Sent → Viewed → Accepted

The quote progresses through statuses with timestamps captured at each step. Email-tracked views ping back to Interface365.

Why this matters →Status transitions Draft → Sent → Viewed → Accepted with timestamps, email-open tracking, and a full audit trail.

Mar 24 · 14:20
Jasmine opens the deal's activity timeline, pulls the comparable-DTC-engagements.pdf attached on Mar 15 (3 similar-scope DTC wins at $110-$135K). Sends Nina a 1-page response: "Apples-to-apples is the issue — the $80K quote almost certainly doesn't include the retainer leg or the dev depth our SOW does. Here's the line-by-line breakdown so you can compare like for like." Offers to phase the retainer (start month 2 instead of month 1) to ease cashflow without cutting fees.
Mar 25 · 16:08
Nina acknowledges the breakdown: "Fair — the other quote was branding-only with a basic site. Robert agrees we need the full scope. Going with you at $121K, retainer-month-2 phasing accepted."
Mar 26 · 10:31
SOW signed by Nina Walsh — engagement at the full $121K, retainer phased to start month 2, kickoff May 1 ✓ Won — Signed
Why the timeline mattered. Without the activity log + the comparable-DTC engagements file, Jasmine would have either caved to $80K (eroding 33% of fees on a single deal) or lost the bake-off to a cheaper agency selling a smaller scope. Because every past win was tagged + filterable + retrievable in 30 seconds, the response was data-driven, fast, and respectful. The retainer-phasing offer turned a price fight into a cashflow conversation. Held the full $121K AND won the bake-off.
11
Step 11

Deal Closed Won 🏆

Quote acceptance triggers the deal to move to Closed Won. Probability flips to 100%. Forecast updates. The whole firm's pipeline KPIs ripple.

Why this matters →Close-Won updates the deal, fires events, refreshes pipeline + leaderboard — no orphan records.

Jasmine Reed just closed Helio Health — Brand + Web + Retainer for $121K total ($85K project + $36K retainer).
AM commission: $7K. Days to close: 31. Casey Morgan leads delivery — kickoff May 1.
HMAC-signed, retried, logged. Every webhook gets an X-I365-Signature: sha256=... header so receivers can verify authenticity. Failed deliveries auto-retry with exponential backoff. The Settings → Webhooks → Delivery logs page shows every fire with status code, response, and retry count.

Step 13

Project delivery — brand + web in flight

Auto-created on SOW-signed, the engagement project tracks delivery: kickoff, brand exploration, identity finalization, website design, dev sprint, UAT, launch. Tasks, budget, and stage in one place — and Jasmine stays looped in via the linked deal while Casey runs day-to-day.

Why this matters →Once an SOW is signed, delivery moves to a Project with tasks, budget, and health tracking — and catches mid-engagement scope creep before it eats agency margin (the #1 way agencies lose money).

Day 25 · scope-change request
Helio's CEO requests Spanish-language site pack (out of scope) — +$8,000

On Day 25 of the website build, Robert (CEO) joins a review and flags that 30% of Helio's customers are Spanish-speaking — the new site needs a Spanish-language landing page set (8 pages × design + dev). Not in original scope. Cost: $8K (uses Maverick's beta i18n module, see Step 8 catalog). Casey logs the request as a task on the project, attaches the SE estimate.

Jasmine sees it on the project view immediately — current website-fee budget shows $32K of $50K spent (64%) with $18K remaining. If approved, an add-on line is created: parallel "i18n add-on" with its own $8K budget — the website-fee bar stays unchanged. The total deal value grows to $129K. She @-mentions Marcus. Marcus approves within 24 hours. Robert countersigns from Helio's side. Project health stays ● On track.

Without the project view: this becomes the classic agency death-spiral — the team builds the Spanish pages "as a favor", invoice goes out unchanged, Maverick eats $8K of unbilled work to keep the relationship warm, and the i18n module never graduates from "Draft" status because it has no real customer reference. Caught in time, it's a 24-hour decision, both sides sign off in one place. Saved the margin AND launched the new offering.

What Maverick set up before any of this worked

Rewind 30 minutes from "Day 1." Every screen you just walked through — the source dropdown on the project-inquiry form, the buying-committee roles, the 7-stage sales pipeline + 6-stage project pipeline, the catalog rate sheets, the SOW templates, the retainer tier — was configured once by Marcus in Settings. Then it reused itself through every step that followed.

Why this matters →Everything you saw was configured once before Day 1. Configure once, reuse forever — no per-deal setup overhead.
