Interface365 for Non-profits

A setup guide for non-profit fundraising + development teams — covering foundation & government grants (LOI → proposal → site visit → award → reporting), major-gift individual cultivation (multi-year donor relationships, bequest + planned giving), corporate sponsorship + cause partnerships, and recurring-giving + DAF programs. Trust-first relationship motion, restricted-funds compliance, theory-of-change documentation, and the renewal-driven economics that make non-profits sustainable.

See the live walkthrough Watch a Northstar Youth Foundation grant cycle flow end-to-end through Interface365 — community-foundation roundtable intro, LOI, full proposal, a site-visit + scope-reduction squeeze that resets the ask from $1.2M to $750K and saves the grant, first $250K tranche wired = Closed Won, then a peer-foundation referral cascade adds $400K in follow-on funding. $1.15M raised in 12 months from one warm intro. 15 steps →
Three playbooks in one guide: Sections 2–7 focus on foundation & institutional grant cycles (the gold-standard motion — LOI, proposal, site visit, restricted award). Section 8 documents major-gift individual cultivation, corporate sponsorship, and recurring-giving + DAF variants. Most multi-channel non-profits run two or three pipelines in parallel.
Compliance + system-of-record boundary: Interface365 is designed for the relationship + pipeline + stewardship side of non-profit fundraising — prospecting, LOI authoring, proposal drafting, site-visit prep, board-resolution tracking, NextGen donor cultivation, peer-foundation referrals. Restricted-fund accounting, FASB ASC 958 conditional-contribution treatment, IRS Form 990 prep, state charitable registration, and books-and-records compliance live in your fund accounting + donor system of record (Sage Intacct, Blackbaud Financial Edge, Salesforce NPSP, Bloomerang, Raiser's Edge). Interface365 references account IDs only — never PII like donor SSN or full 990 line items. The integration boundary is part of the gold-standard config in §10 below.

1. Component utility matrix

Decide fast: do you need everything Interface365 ships with for your kind of non-profit? The honest breakdown — what's critical for foundation-grant practices vs major-gift shops vs membership / cause-marketing orgs, what's nice-to-have, and what you can safely skip.

ComponentUseful?Why
Pipelines (grant cycle + active grant lifecycle)✓ CriticalFoundation Grant Cycle (Lead → LOI → Full Proposal → Site Visit → Award → Closed Won at first tranche) and Active Grant Lifecycle (Award Onboarding → Year-1 → Reporting → Renewal) are different motions. Two pipelines, both essential. See walkthrough · Step 7 + Step 13.
Custom fields✓ CriticalFunder type, restriction status, indirect cost rate, reporting cadence, theory-of-change alignment, board-resolution status, FASB treatment — non-negotiable non-profit data the standard CRM schema can't model.
Activity types✓ CriticalDiscovery call, LOI submission, full proposal, site visit, due diligence, board meeting, MOU signing, tranche received, interim report, annual report, donor stewardship event — distinct events with distinct templates.
Tasks✓ CriticalReporting deadlines, MOU compliance gates, board-resolution prep, IRS Form 990 reminders, state charitable-registration renewals, donor-stewardship cadence, NextGen donor outreach. The follow-through that drives both renewal and compliance.
Saved views✓ Critical"Grants in site-visit window (next 14 days)", "Reports overdue", "Renewals due in 90 days", "Stagnant LOIs (21+ days no response)", "Major donors not seen in 90 days", "DAF advisors active". Operational and compliance essentials. See walkthrough · Step 7.
Multi-contact deals✓ CriticalFoundations have multi-stakeholder buying committees: Senior Program Officer (technical), Trustees (decision authority), Foundation Counsel (legal), Outside Expert advisors (due diligence). Major-gift households similarly involve spouse + adult-child NextGen + financial-advisor + trusted-advisor. Shared visibility + role-based access is non-negotiable.
Source organizations✓ CriticalCommunity foundations, donor-advised-fund networks, religious-institution networks, government RFP intermediaries — these are the COI (centers of influence) network for non-profits. Tracking the convener / network organisation separately from the funder enables reciprocity tracking, professional-courtesy gifts, peer-referral cascade attribution. See walkthrough · Step 3.
Tags✓ ImportantHNW funder, family foundation, education portfolio, first-time relationship, roundtable-sourced, restricted-only, DAF-channel, board-relationship, planned-giving prospect, at-risk renewal — drive different communication motions and saved-view filters.
Forecasting✓ ImportantPipeline-weighted by stage × probability = expected revenue forecast. Multi-year grant booking + restricted-vs-unrestricted forecast. Critical for board-level revenue planning + cashflow.
Webhooks / API✓ ImportantOutbound webhooks pair Interface365 events (deal.won = first-tranche-wired, peer-referral.signed) with Sage Intacct / Blackbaud Financial Edge / NetSuite (fund accounting), Salesforce NPSP (compliance system of record), Mailchimp / Constant Contact (donor segmentation), and DAF-recommend platforms.
Teams & permissions✓ CriticalEach major-gifts officer sees their portfolio, grant writers see their pipeline, program staff see their grant deliverables, finance + ops see all, ED + board chair see all + audit trail. Tightly scoped permissions are board-governance + IRS-compliance relevant.
Multi-currency~ UsefulFor non-profits with international grant relationships (Bill & Melinda Gates Foundation, Open Society, Rockefeller — many give cross-border) — otherwise skip.
Quotes / line items✓ ImportantFoundation proposals are line-item budgets (personnel, M&E, indirect costs, by year, by program). Native budget templates save hours per proposal + create version-controlled shareable PDFs. See walkthrough · Step 9.
Projects✓ CriticalActive grants run as multi-year projects with restricted-fund tracking, milestone reporting, deliverables management. The Active Grant Lifecycle pipeline is non-optional for any organization with multi-year grant relationships.

Sections 2–7 below explain foundation grant cycle configuration. Section 8 covers major-gift individual cultivation, corporate sponsorship, and recurring-giving + DAF variants. Section 9 covers fundraiser compensation + cost-of-fundraising tracking. Section 10 explains how Interface365 fits alongside your fund-accounting, donor-CRM, compliance, and email-marketing stack.

2. Overview

Non-profit fundraising has four structural realities other industries don't share:

  • The "deal" is the relationship, not the transaction. Foundations rarely give once and disappear — a first $250K tranche typically becomes a $1M+ multi-year relationship + peer-foundation referral cascade if stewarded well. The CRM exists to model the relationship arc, not the single-gift transaction.
  • Won fires when the wire lands, not when the award letter is signed. Award letters are written days into the relationship; revenue recognition (per FASB ASC 958 for conditional contributions) begins only when the first tranche arrives in the restricted-fund GL sub-account. Every day in the gap is a day MOU language can change. The CRM "Closed Won" trigger must be tied to first-tranche-received, not signature.
  • Restricted-fund compliance is a constant constraint, not an afterthought. Foundation grants are typically restricted to the funded program — the non-profit must be able to demonstrate (in books, in reports, in audit) that the money was spent only on what was funded. Misallocating restricted funds is a fiduciary breach and a federal-tax-exempt-status risk. The right firms have a structured restricted-fund-tracking motion in their fund accounting, with the relationship + reporting cadence in CRM.
  • The peer-referral cascade is the highest-leverage growth motion. Foundations talk to other foundations. Community foundations convene quarterly roundtables. DAF networks share recommended-grantee lists. A single warm intro at a roundtable can generate $1M+ in 12 months across 3 funders if stewarded — but only if the organization has the operational discipline to keep the original relationship deeply healthy AND respond fast when the peer intro lands. Modeling the source-organization (the convener / network) separately from the funder is non-negotiable for this motion to scale.

3. Recommended pipeline (foundation grant cycle)

For non-profits cultivating institutional foundation + government grants:

StageProbabilityWhat it means
Lead5%Identified prospect — roundtable intro, peer-foundation tip, conference contact, inbound LOI form.
LOI Drafting15%Internal drafting of the Letter of Intent — tight 2–4 page pitch most foundations require before a full proposal.
LOI Submitted30%LOI delivered to funder portal; awaiting program-officer review.
Full Proposal Invited45%LOI approved; full proposal requested. (Or LOI declined → Lost.)
Proposal Submitted60%Full proposal sent — narrative, theory of change, multi-year budget, attachments (501(c)(3), Form 990, audited financials).
Site Visit / Due Diligence75%Funder visits the program; outside-expert interviews; common stall point.
Award Pending (Trustee Decision)90%Trustee meeting on calendar; verbal yes from program officer typical.
Closed Won (First Tranche Wired) (Won)100%First tranche received in the restricted-fund GL sub-account. Revenue recognition begins.
Did Not Proceed (Lost)0%Lost — capture reason (declined LOI, declined post-proposal, scope mismatch, lost to peer organization, withdrew).

4. Recommended pipeline (active grant lifecycle)

Once a grant is Closed Won, it moves to a separate active-grant pipeline that runs for the multi-year award duration. Each phase triggers reporting deadlines + tranche releases + program-officer check-ins:

PhaseWhat triggers itWhat's owned here
Award OnboardingFirst tranche received; MOU signed; restricted GL sub-account opened in fund accounting.Internal kickoff meeting; reporting calendar set; quarterly check-in scheduled with program officer.
Year-1 Programmatic DeliveryProgrammatic work underway against the funded program scope.Outcomes data collection, monthly internal review, restricted-fund spend tracking against approved budget.
Year-1 ReportingInterim report (typically semi-annual) + annual final report due per MOU.Outcomes narrative, budget actuals vs approved, lessons learned, next-year ask. Critical for renewal probability.
Year-2 Programmatic + Phase DecisionYear-1 outcomes review unlocks Year-2 tranche. Conditional-phase grants may have explicit go/no-go gate.Phase-2 expansion negotiation. Often where peer-referral conversations begin.
Renewal CultivationFinal-year reporting cycle; renewal proposal due 6–9 mos before grant end.Renewal LOI / proposal; relationship-deepening; planned-giving / capital-campaign cross-sell from foundation principals.
Closeout / Post-Grant StewardshipGrant period ends; final report filed.Funder remains warm prospect for next program area. Add to alumni-funder list for future engagement.

6. Activity types

Non-profit-specific activity types:

  • Discovery call — initial fact-find, soft assessment
  • Roundtable / convening — community-foundation or peer-network event where intros happen
  • LOI submission — Letter of Intent delivered to funder portal
  • Full proposal submission — formal proposal package delivered
  • Site visit (inbound or outbound) — funder visits program OR development staff visits funder
  • Due-diligence interview — outside expert reviews program for funder
  • Trustee meeting — funder's board / trustee decision meeting
  • MOU signing — Memorandum of Understanding executed
  • First tranche received — wire-confirmation activity (the won trigger)
  • Interim report submitted / Annual report submitted — reporting cadence events
  • Renewal proposal sent — multi-year renewal ask
  • Major-gift cultivation visit — individual donor major-gift conversation
  • Stewardship event — donor appreciation, site tour, gala invitation
  • Planned-giving conversation — bequest / gift-in-trust conversation

7. Lead statuses + tags

Lead statuses for early funnel:

  • New — fresh inbound or roundtable intro
  • Contacted — discovery scheduled or completed
  • Active prospect — LOI drafting — actively engaged in early discussions
  • Plan in draft — full proposal in flight

8. End-to-end workflow + variants

A Tuesday at Northstar Youth Foundation — a 32-staff Minneapolis non-profit managing 47 institutional funders + 11,400 individual donors.

1

8:00am — Pipeline + active-grant review

Director of Development opens dashboard. Pipeline weighted: $3.8M expected new restricted grants over next 12 mos. 14 deals in the Foundation Grant Cycle pipeline. 2 deals stuck at LOI Submitted aged 23+ days (cap 21d) — flagged for follow-up. Wexford-Bell Phase-2 decision approaching (Year-1 outcomes review at month 12 = Apr next year). The Northstar/Wexford-Bell relationship is the highest-revenue active grant.

2

9:30am — Roundtable intro follow-up

Yesterday's quarterly Education Funders Roundtable at Twin Cities Community Foundation. Logs Roundtable activity. Helen Park (TCCF Director of Programs) introduced 2 new prospects: Hovland Family Foundation ($65M endowment, education-focus) and Carmen Vance Trust ($28M endowment, capacity-building focus). Sarah creates 2 new leads with Roundtable-sourced tag. Tags Helen Park as Convener · Active referrer — 4th roundtable intro YTD across $4.2M of pipeline.

3

11:00am — Major-gift cultivation visit

Lunch with HNW individual donor: George Lindstrom ($420K lifetime giving across 8 gifts; estimated capacity $5M+; tagged NextGen-prospect + Planned-giving prospect). Logs Major-gift cultivation visit. Captures: George's adult son just became a parent (NextGen relationship-window opens — adult-child gift propensity rises sharply when first grandchild arrives), George casually mentions "we should talk about my will" (planned-giving conversation has begun). Updates planned_giving_status = Conversation started. Schedules 2-week follow-up with George + his attorney.

4

1:30pm — Site-visit prep call

Filter: deals in Site Visit / Due Diligence stage in next 14 days. 3 deals coming up. Reviews the schedule for next week's Vance Family Foundation site visit (Wexford-Bell-influenced peer referral). Layla Brennan walks through Vance-specific outcomes data + theory-of-change. Logs Site-visit prep activity. Tomas confirms budget docs ready.

5

3:00pm — Closed Won 🎉

Wire confirmation lands from US Bank: $100K from Linden Trust just hit Northstar's restricted operating account. Sarah ticks "First Tranche Received" — Linden deal flips to Closed Won. Sage Intacct webhook fires, GL sub-account opens. Slack #northstar-wins celebrates. Active grant moves to Award Onboarding phase. Total Wexford-Bell-influenced funding now: $750K direct + $300K Vance + $100K Linden = $1.15M from one warm intro.

6

4:00pm — Reporting cadence sweep

Filter: active grants with Year-1 interim report due in next 30 days. 4 grants flagged. Wexford-Bell interim report due Oct 22 (week 27 of grant). Layla begins drafting outcomes narrative. Tomas pulls Year-1 actuals vs approved budget for the budget-narrative section.

7

5:30pm — Q4 board prep

Director of Development reviews this quarter's performance for Patricia Holloway (Board Chair). Grants awarded YTD: $4.2M (vs $3.4M FY24, +24%). Foundation retention 78% (industry benchmark 60–70%). Cost-of-fundraising blended 7.2% (target 8%). Board narrative: "Wexford-Bell relationship is a textbook case study — one warm intro, $1.15M in 12 months, peer-foundation reputation lift, two-generation board narrative."

Variant — Major-gift individual cultivation (multi-year donor relationship)

Major-gift programs serve a smaller number of HNW donors with deeply personalised cultivation: discovery → cultivation → ask → solicitation → stewardship → upgrade → planned giving. The CRM motion looks different:

  • Pipeline is longer + softer — cultivation often takes 18–36 months from first meaningful contact to first major gift
  • Custom fields shift: giving_capacity_estimate, giving_history_total, moves_management_status (Identified / Qualified / Cultivated / Solicited / Stewarded / Upgraded / Planned-Gift Engaged), last_meaningful_contact, relationship_strength
  • Won trigger is signed pledge + first installment received — typically faster than foundation cycle but still takes 30–90 days from solicitation
  • Stewardship is far more intensive: monthly or quarterly personal touches, annual donor-recognition events, family-meeting facilitation for multi-gen households, board-relationship cultivation
  • Track nextgen_status + planned_giving_status on each major-gift contact — these are the highest-LTV cultivation tracks

Variant — Corporate sponsorship + cause partnership

Corporate sponsors operate on a different motion: marketing-budget-aligned, deliverables-driven, often event-based:

  • Pipeline is shorter — corporate cycles run 3–6 months from first call to signed sponsorship; fiscal-year-aligned
  • Custom fields shift: sponsorship_tier (Title / Presenting / Program / Event), deliverables_promised (logo placement, employee engagement, content rights, recognition), multi_year_term, renewal_quarter
  • Won trigger is sponsorship agreement signed + first invoice paid
  • Track last_renewal_date + employee_engagement_count for renewal cultivation; corporate sponsors renew on different metrics than foundations (employee participation + brand visibility, not outcomes data)

Variant — Recurring giving + DAF advisor cultivation

Sustainer / monthly-giving programs + Donor-Advised Fund advisor programs serve broader donor bases at lower per-gift values but high LTV through retention:

  • Pipeline is conversion-driven — convert one-time donors to monthly sustainers; work with DAF advisors at community foundations + Fidelity Charitable + Schwab Charitable to be a recommended grantee
  • Custom fields shift: giving_frequency (One-time, Monthly, Quarterly, Annual), monthly_amount, retention_status (Active / At-risk / Lapsed / Reactivated), daf_sponsor (Fidelity Charitable, Schwab Charitable, NPT, etc.)
  • Won trigger varies: first sustainer payment received OR first DAF grant landed in account
  • This pipeline integrates more tightly with email-marketing automation (Mailchimp, Constant Contact) and recurring-payment systems (Stripe, Donorbox, Classy)

9. Major-gift officer + program-staff compensation + cost-of-fundraising tracking

Non-profit fundraising compensation is grid-light vs commercial sales: most major-gift officers are salary + bonus rather than pure commission. Bonuses typically tie to a mix of (a) total revenue raised against goal, (b) retention rate of major donors, and (c) qualitative judgement of relationship-deepening. Program-staff time on grant reporting + site-visit prep is usually salary-loaded but tracked for cost-of-fundraising reporting (and IRS Form 990 functional-expense allocation). The non-negotiable metric is cost-of-fundraising ratio (CFR) — total fundraising expense ÷ total contributions raised. Foundation-grant motion typically achieves 5–15% CFR; major-gift individual motion 10–20%; events 30–50%; direct mail 60–80%+.

The five-field setup on Deal

Add these custom fields under Settings → Custom Fields → Deal:

FieldTypeUse
major_gift_officerUser referenceSenior development staff — owns the relationship + drives compensation credit (goal attainment + retention).
program_leadUser referenceProgram staff — owns technical pitch + outcomes reporting. Time tracked against grant-management cost.
fundraising_cost_estimateCurrencyAllocated time + overhead for this grant. Drives CFR ratio.
cfr_ratio_pctNumber (calculated)fundraising_cost_estimate ÷ grant_amount_awarded × 100.
peer_referrals_generatedNumberHow many other funders this relationship has referred in. Drives source-org reciprocity tracking.

Worked example — Wexford-Bell from the walkthrough

  • Initial proposal ask = $1,200,000 (3 yrs, 14-school expansion)
  • Site-visit-driven scope cut = $1,200,000 → $750,000 (10-school Phase 1 + 4-school Phase 2 conditional)
  • Year-1 first tranche = $250,000 (won trigger, Day 97 wire)
  • Indirect cost rate = 15% (Northstar federally-negotiated; Wexford-Bell allows 20%)
  • Decision cycle = 97 days (intro Jan 14 → first tranche Apr 21)
  • major_gift_officer = Sarah Okonkwo
  • program_lead = Layla Brennan
  • Sarah's allocated time = ~$25,000 (proposal + site-visit + MOU negotiation)
  • Layla's allocated time = ~$8,000 (outcomes data + site-visit prep + presentations)
  • Tomas's allocated time = ~$6,000 (budget docs + indirect-cost methodology + MOU finance review)
  • Organizational overhead = ~$6,000 (allocated)
  • Total fundraising cost = ~$45,000
  • CFR ratio (direct $750K) = 6.0% (industry: 5–15% for foundation-grant motion)
  •
  • Peer-referral cascade (week 14 post-award):
  •   Vance Family Foundation = +$300,000 ($150K/yr × 2 yrs, restricted to college-readiness)
  •   Linden Trust = +$100,000 (1-yr, unrestricted capacity-building)
  •   Total peer-referred = $400,000
  •   Vance + Linden CFR = ~$12,000 combined (very low — leveraged Wexford-Bell template + warm intros)
  •
  • Total Wexford-Bell-influenced funding (12 mos) = $1,150,000
  • Total CFR for the cascade = ($45K + $12K) / $1,150K = ~5.0%
  • peer_referrals_generated (Wexford-Bell) = 2 (Vance + Linden)
  • 3-yr expected funder LTV = ~$1.2M+ (full Phase 2 unlocked + likely renewal cycle)
  • Source organization (TCCF) reciprocity = $0 cash + Roundtable sponsor of FY27 Spring breakfast + Helen Park named in Northstar's annual report

Three saved views every non-profit needs

  • "My grants raised this quarter" — saved view filtered to major_gift_officer = me, status = won, first_tranche_at >= quarter_start. Each MGO gets their own. Program leads get the parallel filter on program_lead = me.
  • "Reports overdue + reports due in next 14 days" — owner-level saved view filtered to active_grant = true AND interim_report_due < today + 14d. The known-at-risk window. Each row gets a reporting-task auto-fired. Late reports kill renewal probability.
  • "Major-gift donors not seen in 90 days" — saved view on the major-gift pipeline filtered to contact_role = Major Donor AND last_meaningful_contact < today - 90d. Surfaces relationship-decay risk. Highest-LTV donor base gets first call after this filter runs.

For organizations with solicitor / fundraiser registration requirements (state-by-state compliance for non-profit fundraising, varies — California, New York, Massachusetts, etc.), add a state_registration_status custom field on the organization record + track renewals annually. Non-compliance = inability to legally solicit funds in that state.

10. Where Interface365 fits — alongside, not against, your non-profit stack

Non-profits run a stack: fund-accounting system for restricted-vs-unrestricted GL tracking + IRS Form 990 prep; donor-CRM system of record for compliance audit-trail + bulk donor data; email-marketing platform for newsletter + appeal blasts; recurring-payment processor for sustainer giving; events management for galas + cultivation events; CRM for the relationship + pipeline + stewardship cadence. The real question isn't "Interface365 OR Salesforce NPSP?" — those tools don't compete; they own different layers. The right question is: "where does Interface365 sit in my stack?"

Interface365 is positioned as the relationship + pipeline + stewardship layer — prospecting, LOI authoring, proposal drafting, site-visit prep, board-resolution tracking, peer-referral cultivation, NextGen donor expansion, planned-giving conversations, life-event watch. It is NOT a fund-accounting system, a system-of-record donor database, an email-marketing engine, or a payment processor. Restricted-fund GL, FASB ASC 958 conditional-contribution treatment, IRS Form 990 prep, books-and-records, payment processing all live in those purpose-built systems and are referenced by funder ID + grant ID only.

The "alongside" pattern (most independent non-profits $1M–$50M revenue)

LayerToolWhat it owns
Relationship + CRM + pipelineInterface365Inquiry → Discovery → LOI → Proposal → Site Visit → Award → Closed Won at first tranche → Active Stewardship → Renewal. Source of truth for the funnel + the donor / funder relationship.

Grant management (heavy users)Fluxx / SmartSimple / Foundant Grant Lifecycle ManagerFor non-profits managing 200+ active grants: dedicated grant-management software with funder-portal integration, auto-renewal calendars, deliverables tracking. Interface365 stays the relationship + pipeline source; Fluxx becomes the grant-administration system of record.
DAF + planned-giving researchWealth Engine / DonorSearch / iWave / FreeWill (planned-giving)Donor wealth screening, prospect identification, planned-giving conversation tools. Output dropped into Interface365 contact records.

This is exactly what walkthrough Step 12 demonstrates — first-tranche-wired fires webhooks to Slack + Sage Intacct (fund accounting) + Salesforce NPSP (compliance mirror). The tools don't fight; they each do what they're best at.

When Interface365 alone is enough

  • Solo / 2-5 person non-profits ($250K–$2M revenue) — Interface365 + a basic fund-accounting tool (Aplos, QuickBooks Nonprofit) + Stripe + Mailchimp is the entire prospect-to-grant-funded stack. Salesforce NPSP / Raiser's Edge can wait until you scale past 500 active donors.
  • Foundation-grant-led non-profits (NIH-funded research labs, foundation-funded policy shops, advocacy think tanks) — most revenue is institutional grants, not bulk individual donors. Interface365 + fund accounting + DocuSign covers the full motion. No mass-donor CRM needed since the donor base is small + high-touch.
  • Project-based fiscal-sponsorship arrangements — fiscal sponsor handles the back-office; Interface365 handles the relationship + pipeline at the project level.
  • New non-profits in launch year — Interface365 covers the relationship + pipeline; defer the donor-CRM-of-record decision until you have 500+ active donors and need bulk-data infrastructure.

When to pick something else outright

  • Higher-ed advancement (universities, research institutions) — typically standardized on Salesforce Education Cloud + Slate (admissions) + Raiser's Edge NXT + custom alumni-relations builds. Interface365 is sized for $250K–$50M revenue independents, not multi-billion-dollar university advancement programs.
  • Hospital / health-system foundations — large hospital foundations operate inside the parent system's enterprise CRM (Salesforce Health Cloud + Allscripts integration + grateful-patient programs). Interface365 isn't sized for hospital-IT integration overhead.
  • National membership organizations (5M+ members) — bulk-membership CRMs (iMIS, MemberClicks, NetSuite NPS) are designed for the per-member density of large national orgs. Interface365 is sized for relationship-driven foundation + major-gift work, not 5M-member operations.
  • Religious institutions (church / synagogue / mosque congregations) — religious-CRM platforms (Realm, Planning Center, ChurchTrac) bundle congregation directory + giving + small-group management in ways that don't fit Interface365's pipeline-driven motion.
  • Government grant-funded service providers (heavy federal-RFP work) — federal-grant compliance overhead requires specialized grant-management (Fluxx, SmartSimple) for SF-424 / R&R / SAM.gov integration. Interface365 doesn't have the federal-RFP-specific workflow.

Bottom line: think of Interface365 as the relationship + pipeline + stewardship layer, sitting cleanly above your fund-accounting + donor-CRM-of-record + compliance stack and below your events + email-marketing tools. The boundary is "anything funder-or-donor-relationship-related" lives here; "anything restricted-fund-accounting or 990-related" stays in the purpose-built non-profit stack.
