Interface365 for Education
A setup guide for two distinct education sales motions: student enrollment (K-12 independent schools, boarding schools, universities, bootcamps) and corporate training (B2B learning & development sales). Different funnels, same platform — and the same FERPA-aware boundary in both.
See the live walkthrough Watch a single Grade-10 boarding admission flow end-to-end through Interface365 — from family inquiry through campus tour, application, $12K → $22K aid re-evaluation that saves the deal, matriculation, and pre-arrival add-ons. Net Yr-1 revenue: $56,900. Kept FERPA-aware (zero academic records in CRM). 15 steps →1. Component utility matrix
Decide fast: do you need everything Interface365 ships with for your kind of school or program? The honest breakdown — what's critical, what's nice-to-have, and what you can safely skip.
| Component | Useful? | Why |
|---|---|---|
| Pipelines (admissions + retention) | ✓ Critical | Bid pipeline + active-student retention are different motions. Two pipelines, both essential. See walkthrough · Step 7 + Step 13. |
| Custom fields | ✓ Critical | Entry grade, day-vs-boarding, aid candidate, family budget, SIS ID reference — non-negotiable admissions data. |
| Activity types | ✓ Critical | Tour, interview, aid conversation, parent orientation, re-enrolment check-in — distinct events with distinct templates. |
| Tasks | ✓ Critical | Application chasing, transcript reminders, aid-gap escalations, re-enrolment confirmations. The small stuff that drives yield + retention. |
| Quotes / line items | ✓ Important | Cost-of-attendance offer letters with tuition + R&B + fees + aid grants are line-item-driven. Native quotes save manual work + create FERPA-clean shareable PDFs. See walkthrough · Step 9. |
| Saved views | ✓ Important | "Aid-gap risk", "Melt watch", "Re-enrolment pending" — operational essentials. Aid-gap recovery alone pays for the CRM. See walkthrough · Step 10. |
| Tags | ✓ Important | Aid candidate, sending-school referral, legacy/sibling, international — drive different communication motions and reciprocity tracking. |
| Forecasting | ✓ Important | Net tuition revenue planning, yield-rate tracking, aid-pool consumption — admissions + finance both work from the same forecast. |
| Webhooks / API | ~ Useful | Outbound webhooks pair Interface365 events (deal.won, re-enrolment) with SIS (Veracross / Blackbaud), FACTS billing, and Slack. |
| Multi-currency | ~ Sometimes | Domestic-only schools skip. Boarding schools with international families and bootcamps with global cohorts enable. |
| Teams & permissions | ✓ Important | Counselors see their pipeline, aid sees aid-gap workflows, head of school sees all — visibility tiers matter. |
Sections 2–7 below explain the configuration for student enrollment. Section 8 covers the corporate training variant. Section 9 covers admissions counselor compensation. Section 10 explains how Interface365 fits alongside your SIS, FACTS billing, and recruitment tools.
2. Overview
Education sales has unique structure no other industry shares:
- Cohort-based timing. Most enrollments cluster around start dates — fall, spring, January cohort. Pipeline aging looks different around these inflection points.
- The applicant journey is multi-step. Inquiry → Application → Acceptance → Deposit → Enrolled. Each step is a real conversion event.
- Two stakeholders for younger students — student + parent both influence the decision. Multi-contact deals matter.
- Yield management. You accept more than you can enroll. Tracking the gap between accepted and enrolled is its own discipline.
3. Recommended pipeline (student enrollment)
For universities, bootcamps, language schools, and certificate programs:
| Stage | Probability | What it means |
|---|---|---|
| Inquiry | 5% | Prospective student requested info or downloaded a brochure. |
| Application Started | 15% | Began application but not submitted. |
| Application Submitted | 35% | Complete application received, in review. |
| Interviewed | 50% | Admissions interview complete. |
| Accepted | 65% | Admission offer extended. Awaiting student decision. |
| Deposit Received | 85% | Enrollment deposit paid — student committed. |
| Enrolled (Won) | 100% | Started classes. Track in student information system from here. |
| Withdrew / Declined (Lost) | 0% | Did not proceed — log reason. |

- Application help call — assisting with the application
- Interview — admissions or program-fit interview
- Acceptance call — congratulations + next steps
- Yield outreach — between acceptance and deposit
- Onboarding — pre-start orientation
- Parent call — for younger applicants
6. Lead statuses + tags
Lead statuses for early-funnel tracking:
- New — fresh inbound, not yet contacted
- Engaged — opening emails, attending info sessions
- Cold — no engagement in 30+ days
- Future Cohort — interested but for a later term
- Disqualified — wrong program / location / eligibility
Recommended tags:
- Visited campus (green) — major intent signal
- Multi-program (blue) — exploring more than one program
- International (gold) — visa requirements
- Need-based aid (purple) — financial aid is a key factor
- Legacy (red) — family member is alumni / staff
- Stop-out / Returner (gray) — left education, returning
7. End-to-end workflow
A Wednesday at a university admissions office during yield season (April), with three enrollment advisors.
8:30am — Yield report
Director runs the dashboard. 312 accepted, 184 deposited, 128 in yield window. Drilldown shows 23 admitted students aged 14+ days in Accepted stage — top priority for outreach today.
10:00am — Yield call campaign
Advisors split the 23 stuck-in-yield students. Each call logged as Yield outreach activity. Two students commit verbally — advisors update records, send confirmation, deposit will land in 24 hours.
11:30am — Info session attendees
15 prospective students attended yesterday's virtual info session. Auto-imported via Zoom webhook to Interface365 with visited_campus = false, area_of_interest set from registration form. Advisors begin personal follow-up.
1:30pm — Campus visit follow-up
Two students who visited campus on Monday haven't been contacted yet. Advisor calls each, books application help session for next week. Updates visited_campus = true, sets follow-up tasks.
3:00pm — Financial aid follow-ups
Saved view: financial_aid_status = Awarded AND stage = Accepted. 41 students. Advisor sends personalized email noting their aid award and pushes them toward deposit. Deposit deadline is 30 days away.
5:00pm — Deposit landing notifications
Webhook from financial system pushes 8 deposit confirmations during the day. Each auto-moves the deal from Accepted to Deposit Received with deposit_amount populated. Slack #enrollment channel celebrates.
8. Corporate training variant
For B2B L&D sales (training your software, leadership programs, or services to companies), use a separate pipeline. The buying motion is closer to SaaS than to student enrollment.
Recommended pipeline:
- Lead (5%) — initial inbound or outbound contact
- Discovery Call (20%) — needs assessment with L&D contact
- Proposal Sent (40%) — training program + pricing delivered
- Pilot Approved (60%) — small-group test booked
- Pilot Delivered (75%) — pilot complete, awaiting expansion decision
- Contract Signed (90%) — full rollout signed
- Training Live (100%) — Won
- Lost (0%)
Add custom fields: cohort_size, delivery_format (in-person, virtual, hybrid), seats_purchased, price_per_seat, renewal_date.
9. Admissions counselor compensation
Admissions counselors aren't sales reps in the traditional sense — they're enrollment professionals balancing yield, mission fit, and family relationships. Most schools pair a small per-matriculation recognition bonus with a cycle-yield bonus. Some firms (especially universities with enrollment-management consultants) layer in tiered yield bonuses; bootcamps + corporate-training organisations often pay traditional sales commission on signed contracts.
The four-field setup on Deal
Add these custom fields under Settings → Custom Fields → Deal:
| Field | Type | Use |
|---|---|---|
counselor_assigned | User reference | Whose admit yielded. Drives bonus attribution. |
per_matric_bonus | Currency | Flat per-matriculation recognition bonus — typically $200–$600 paid on deposit. |
yield_bonus_tier | Select | Cycle-end tier: under_target / at_target / over_target. Resolves at cycle close. |
aid_pool_used | Currency | Aid awarded on this deal. Aggregates to the cycle aid-budget tracker. |
Worked example — Hannah Liu admission from the walkthrough
- Sticker price (Yr 1) = $78,900
- Aid awarded = $22,000 ($18K need + $4K merit)
- Net tuition Yr 1 = $56,900
- counselor_assigned = Daniel Park
- per_matric_bonus = $400 (paid on deposit, Apr 1)
- Cycle yield bonus = ~$1,800 prorated (paid Jun 30 at cycle close)
- Daniel total comp on Hannah = $2,200 (split across two trigger events)
- 3-yr LTV (expected) = $170.7K → if Hannah re-enrols, Daniel does NOT get a fresh bonus next cycle (re-enrolment is retention, not new sales)
Three saved views every admissions team needs
- "My matriculations this cycle" — saved view filtered to
counselor_assigned = me, status = matriculated, deposit_at >= cycle_start. Each counselor gets their own. - "Aid-pool burn-down" — director-only saved view aggregating
aid_pool_usedacross all admits this cycle. Surfaces when the aid budget is approaching its ceiling — critical for yield planning. - "Yield by sending school" — pivots inquiry-to-matriculation rate per source organisation over the trailing 5 cycles. Surfaces which sending schools to invest in for next year's outreach.
For schools with enrollment-management consultants (Ruffalo Noel-Levitz, EAB, Hardwick Day) who get paid per matriculated student, add a consultant_fee custom field and report on it monthly. For bootcamps + corporate training with traditional sales commission, the structure looks like SaaS rather than admissions — see the SaaS reference guide for that pattern.
10. Where Interface365 fits — alongside, not against, your education stack
Schools run a stack: SIS for student records, LMS for academic delivery, financial-aid software for need calculation, billing for tuition collection, marketing automation for recruitment, CRM for the admissions funnel + family relationship + retention. The real question isn't "Interface365 OR Veracross?" — those tools don't compete; they own different layers. The right question is: "where does Interface365 sit in my stack?"
Interface365 is positioned as the admissions + family-relationship layer — inquiry capture, tour scheduling, application tracking, aid-letter generation, melt-watch, retention check-ins, alumni pipeline. It is NOT a Student Information System. Academic records (transcripts, grades, IEPs, attendance, disciplinary records) live in your SIS / SRS and are referenced by student_id only.
The "alongside" pattern (most K-12 independent + boarding schools)
| Layer | Tool | What it owns |
|---|---|---|
| Admissions + CRM + retention | Interface365 | Inquiry → tour → application → aid letter → matriculation → re-enrolment. Source of truth for the funnel + the family relationship. |
| SIS / Student records | Veracross / Blackbaud / PowerSchool / FACTS SIS | Transcripts, grades, attendance, IEPs, disciplinary records, schedules. Linked to Interface365 by student_id only — never by academic detail. |
| Application platform | SAO (Standard Application Online) / SSAT.org / TADS / Ravenna | Application intake, essay submissions, rec-letter collection. Webhook application.complete → Interface365 stage advance. |
| Financial aid calculation | SSS by NAIS / FAST / TADS | Family financial-need determination from tax docs. Output is an "indicated need" number that flows into Interface365's aid letter. |
| Tuition billing + payment plans | FACTS Tuition Mgmt / Smart Tuition / Blackbaud Tuition | Monthly draft, late-payment chasing, aid disbursement. Webhook deal.won → FACTS account creation. Critical integration. |
| LMS / academic delivery | Canvas / Schoology / Google Classroom / Moodle | Course content, assignments, gradebook, parent portal. Out of Interface365's scope. |
| Marketing automation | HubSpot / MailChimp / Klaviyo / Finalsite | Recruitment email campaigns, parent newsletters, alumni engagement. Webhook inquiry.created → enrollment in nurture sequence. |
This is exactly what walkthrough Step 12 demonstrates — matriculation deposit fires webhooks to Slack + SIS + FACTS billing. The tools don't fight; they each do what they're best at.
When Interface365 alone is enough
- Small K-12 independent schools (under 200 students) — Interface365 + a basic SIS (Veracross core, Blackbaud) + FACTS for billing is the entire admissions-side stack. Marketing automation can be added later when recruitment scales.
- Boutique boarding programs / specialty schools — Interface365 + SIS + a payment processor cover the funnel cleanly. The aid + multi-contact + re-enrolment workflows scale to 1000+ active families before needing a dedicated enrollment-management platform.
- Bootcamps / coding schools / micro-credentials — Interface365's pipeline-and-quote model maps cleanly to cohort-based enrollment without the SIS overhead. Pair with Stripe for billing.
When to pick something else outright
- Large universities (10K+ students) — Slate (Technolutions) is the standard CRM for higher-ed admissions. Salesforce Education Cloud also competes here. Interface365 is sized for K-12 + bootcamps + small private colleges, not large university enrollment management.
- K-12 schools with deeply-bundled SIS+LMS+billing+admissions — Veracross Plus, Blackbaud Education Management, and FACTS SIS bundle admissions CRM with their core SIS. If you're already on one of those and your admissions-CRM needs are basic, the bundled CRM may be sufficient.
- Heavy state-mandated reporting (public-school adjacent) — public-school SIS systems (Infinite Campus, Skyward, PowerSchool district edition) handle state compliance reporting natively. Interface365 doesn't compete on state-reporting features.
Bottom line: think of Interface365 as the admissions + family-relationship + retention layer, sitting cleanly above your SIS and below your tuition-billing platform. The boundary is "anything family-facing or pipeline-related" lives here; "anything academic-records or scheduling" stays in the SIS / LMS.
