See the live walkthrough Watch a single deal flow end-to-end through Interface365 — from demo request to closed-won $90K ARR, customer onboarding project, and dashboards. 15 steps →1. Component utility matrix
Decide fast: do you need everything Interface365 ships with for your kind of B2B SaaS motion? The honest breakdown — what's critical, what's nice-to-have, and what you can safely skip.
| Component | Useful? | Why |
|---|---|---|
| Pipelines | ✓ Critical | 9-stage SaaS pipeline (or PLG variant) is the core — drives forecasting, conversion analysis, AE coaching. |
| Custom fields | ✓ Critical | ARR, plan tier, ICP score, security status — these ARE your forecasting model. |
| Forecasting | ✓ Critical | Weighted forecast feeds board reporting + sales planning. Non-negotiable. |
| API + webhooks | ✓ Critical | Integrations with Slack (deal alerts), Stripe (billing), HubSpot (handoff), product analytics. Without these you re-key data. |
| Buying committee (multi-contact deals) | ✓ Critical | Champion + decision maker + procurement + security on one deal record. Foundational for B2B. |
| Quotes & line items | ✓ Important | For deals with plan tier + support add-on + implementation services bundled together. Multi-line quotes with snapshot pricing + multi-year discount are the standard sales artifact. See walkthrough · Step 9. |
| Projects | ✓ Important | Critical for tracking customer onboarding/implementation post-Won — kickoff → schema mapping → ETL → UAT → go-live. Catches scope changes before they blow margin. See walkthrough · Step 13. |
| Tasks | ✓ Important | "Send security questionnaire", "Follow up on POC checkpoint" — the small stuff between calls. |
| Activity types | ✓ Important | Discovery vs Demo vs POC checkpoint — different conversion semantics, log them differently. |
| Tags | ✓ Important | Inbound vs outbound, expansion vs new logo, strategic accounts — segmentation drives reporting. |
| Multi-currency | ✓ Important | If you sell internationally. EUR/GBP/JPY deals need to roll up cleanly into base USD reporting. |
| Teams & permissions | ✓ Important | For 5+ AE teams — visibility tiers (manager sees team, AE sees own). |
Sections 2–7 below explain the configuration for the components above. Section 8 covers the PLG variant. Section 9 covers AE commission tracking. Section 10 explains how Interface365 fits alongside your other revenue tools (HubSpot, Salesforce, Outreach, Gong, etc).
2. Overview
B2B SaaS sales has unique structural challenges no other industry shares quite the same way:
- Multiple stakeholders per deal. A single $50K deal might involve a champion, a security reviewer, a procurement lead, a finance signer, and an executive sponsor. Modeling this in your CRM matters.
- POC / pilot phases. Many deals stall in technical evaluation. You need a clear stage for "actively in trial" with its own conversion metrics.
- ARR > deal value. Forecasting is about recurring revenue, not one-time deal size. Plan tier, seats, and contract length all matter.
- Long, non-linear cycles. Deals get stuck in security review for 6 weeks. Champions leave companies. The pipeline doesn't always move forward.
3. Recommended pipeline
For most SaaS sales teams, this 9-stage pipeline is the right starting point. It separates marketing-qualified from sales-qualified, creates space for POCs, and explicitly tracks negotiation as its own phase.
| Stage | Probability | What it means |
|---|---|---|
| MQL | 5% | Marketing-qualified. Inbound from demo request, content download, or campaign. |
| SQL | 10% | Sales-qualified. AE confirms there's budget, authority, need, and timing. |
| Discovery | 20% | Discovery call complete. Pain validated. Champion identified. |
| Demo | 35% | Product demo delivered. Stakeholders bought into the vision. |
| POC / Trial | 50% | Active in technical evaluation. Success criteria documented. |
| Proposal | 65% | Pricing + scope sent. Internal champion presenting to budget holder. |
| Negotiation | 80% | Procurement, legal, security review. Terms being finalized. |
| Closed Won (Won) | 100% | MSA signed, payment received. Handoff to CSM. |
| Closed Lost (Lost) | 0% | Deal dead — log a loss reason for analysis. |
4. Custom fields cheatsheet
Default deal fields cover name, value, stage. For SaaS you'll want all of these:
On the deal record
| Field name | Type | Why it matters |
|---|---|---|
arr | Currency | Annual Recurring Revenue — the number your CFO and board cares about. |
mrr | Currency | Monthly Recurring Revenue — sometimes more useful for shorter cycles. |
contract_length_months | Number | 12, 24, 36 — drives the ACV (Annual Contract Value) calculation. |
plan_tier | Dropdown (Starter, Pro, Business, Enterprise) | Filters reports + drives pricing rules. |
seats | Number | For per-seat pricing models. |
icp_fit_score | Number (1–100) | How well this prospect matches your Ideal Customer Profile. |
security_review_status | Dropdown (Not started, In review, Approved, Rejected) | The single biggest source of stalled enterprise deals. |
poc_start_date | Date | When the trial began — drives "POC stalled" alerts. |
poc_success_criteria | Text | What the prospect needs to see in the POC to buy. |
competitors_evaluating | Multi-select | Who else is in the deal — drives competitive playbook. |
champion_strength | Dropdown (Strong, Moderate, Weak, None) | Honest read on whether the deal has internal advocacy. |
On the company record
| Field name | Type | Why it matters |
|---|---|---|
employee_count | Number | Drives ICP scoring + plan tier suggestion. |
industry_vertical | Dropdown | For vertical-specific outreach + pattern matching. |
funding_stage | Dropdown (Bootstrapped, Seed, Series A, B, C+, Public) | Indicator of buying budget + decision speed. |
tech_stack | Multi-select | Shows whether your integrations matter to them. |
annual_revenue | Currency | For top-down sizing of the opportunity. |
On the contact record
| Field name | Type | Why it matters |
|---|---|---|
buying_role | Dropdown (Champion, Decision Maker, Influencer, Technical, Procurement, Legal, Security, End User) | Maps the buying committee — who's pushing, who's blocking. |
seniority | Dropdown (IC, Manager, Director, VP, C-Level) | Drives outreach tone + escalation paths. |
5. Activity types
The defaults (Call, Email, Meeting, Note, Task) cover most logging. Add these SaaS-specific types under Settings → Activity Types:
- Discovery call — first qualifying conversation
- Demo — product walkthrough
- Technical demo — deep-dive with engineering or technical evaluators
- POC kickoff — formal start of the trial period
- POC checkpoint — mid-trial pulse check
- Stakeholder call — multi-attendee group meeting
- Champion check-in — 1:1 with your internal advocate
- Procurement call — terms, redlines, MSA discussion
6. Lead statuses + tags
For inbound leads (pre-qualification), use these statuses:
- New — just inbound, untouched
- Working — AE has reached out, no response yet
- MQL — marketing handed over, awaiting AE qualification
- SQL — AE accepted, deal will be created
- Disqualified — wrong ICP, out of market, no budget
- Nurture — not now, follow up in 6+ months
- Customer — already a customer, redirect to CSM
Recommended tags:
- Inbound (blue) — came from website/content
- Outbound (purple) — AE-sourced
- Expansion (green) — existing customer growing
- Renewal (gold) — contract end-date approaching
- Churn risk (red) — customer showing churn signals
- Strategic (purple) — high-priority logo, treat with care
7. End-to-end workflow
A typical Wednesday for an Account Executive juggling 30 active deals across pipeline stages.
9:00am — Pipeline review
You open Interface365 dashboard. Weighted forecast: $487K this quarter, +18% vs last quarter. Three deals show stagnant 14d+ alerts — your first action items for the day.
10:00am — Discovery call (new SQL)
Call with the VP of Engineering at Acme. Confirm pain, budget ($60K range), authority (he reports to CFO), timing (Q2 launch). Convert lead to deal, set stage = Discovery, arr = 60000, icp_fit_score = 85, champion_strength = Moderate.
11:30am — Demo for Cyberdyne (5 attendees)
Run the demo. Add 3 new contacts as a buying committee — Procurement Lead (buying_role = Procurement), Security Reviewer (buying_role = Security), Tech Lead (buying_role = Technical). Move deal to Demo stage. Schedule POC kickoff for next week.
2:00pm — Stalled deal recovery
Initech has been in Negotiation for 21 days. You log a Champion check-in activity, find out their security review hit a snag with SOC 2 questions. Update security_review_status = In review, send the security questionnaire response, set a follow-up task for Friday.
3:30pm — POC checkpoint with Hooli
Mid-trial pulse check. Their poc_success_criteria was "import 10K records and run weekly reports." They've imported 8K and run 2 reports. On track. Move deal from POC / Trial to Proposal with proposal date set.
5:00pm — Closed Won 🎉
Vertex MSA signs. You drag the card to Closed Won. Forecast updates: $96K committed, +12% vs last week. Webhook fires — Slack channel #sales-wins announces the deal. CSM gets the handoff via Zapier.
5:30pm — End of day
Click "Won this month" KPI on dashboard. $245K closed-won. Click through to the list of 4 deals. Forward the dashboard link to your CRO. Done.
8. Product-Led Growth (PLG) variant
If you have a self-serve free tier or trial, your pipeline looks different. The "deal" doesn't always start with a sales call — it starts when a paying customer hits a usage threshold. Modify the pipeline:
- Free trial active (10%) — user signed up, exploring
- PQL (25%) — Product-Qualified Lead. Hit usage threshold (e.g. 5+ users invited, 100+ records).
- Sales touch initiated (40%) — AE reached out
- Discussion (55%) — actively talking about expansion to paid
- Negotiation (75%) — closing terms
- Closed Won (100%)
- Closed Lost (0%)
Add custom field pql_signals (multi-select) to track which behaviors triggered the qualification.
9. AE commission management
For SaaS sales orgs, commission is how AEs get paid — and how RevOps reconciles bookings against quota. Interface365 doesn't ship a dedicated "commission engine" (use Spiff / QuotaPath / CaptivateIQ for full ICM), but you model the deal-level data here so the engine has something to read.
The five-field setup on Deal
Add these custom fields under Settings → Custom Fields → Deal (Settings is admin-only):
| Field | Type | Use |
|---|---|---|
commission_rate | Number (percent) | The AE's effective rate on this deal — typically 8–15% of first-year ARR for new logo, half that for expansion. Defaults can be set per pipeline. |
deal_type | Select | Options: new_logo, expansion, renewal, downsell. Drives the commission rate AND the bookings classification. |
commission_attainment_factor | Number | Multiplier based on quota attainment (e.g. 1.0 below quota, 1.5 on accelerator). RevOps fills this in monthly. |
commission_payout_status | Select | Options: pending, invoiced, paid, clawed_back. The clawback state matters — startup ARR churn within the first 90 days often triggers a partial reversal. |
commission_split | Text (JSON) | For multi-AE deals (e.g. Field SE + AE worked it together). Stores a JSON map of email → share, e.g. {"alex.rivera@northwind": 0.7, "jordan.lee@northwind": 0.3}. Single-rep deals leave this blank. |
Worked example — Globex deal from the walkthrough
- ARR (year-1) = $90,000
- deal_type = new_logo
- commission_rate = 11% (higher because new logo + multi-year)
- attainment_factor = 1.0 (at quota)
- Commission earned = $90K × 11% × 1.0 = $9,900 ≈ $10K
- Status = pending → invoiced → paid (across 30 days)
Three saved views every revenue org needs
- "My commission this quarter" — saved view filtered to
owner = me AND status = won AND closed_at >= quarter_start, columns includearr,commission_rate,commission_earned. Each AE gets their own. - "Pending payout reconciliation" — RevOps-only saved view filtered to
commission_payout_status IN (pending, invoiced). This is what feeds your monthly Spiff/QuotaPath sync. - "Clawback risk" — saved view filtered to
commission_payout_status = paid AND first_invoice_date < 90 days ago AND churn_signal = true. Catches deals that closed and immediately regressed.
The Slack #sales-wins webhook reads the commission_split field to tag both names on multi-AE wins. Most ICM tools (Spiff, QuotaPath, CaptivateIQ) accept this same JSON-map shape via API, so it round-trips cleanly to whichever ICM you adopt.
10. Where Interface365 fits — alongside, not against, your revenue stack
Most SaaS sales orgs run a stack: an MAP (HubSpot Marketing / Marketo) for inbound, a sales engagement tool (Outreach / Salesloft) for outbound, a CRM for pipeline, a conversation intel tool (Gong / Chorus) for call recording, an ICM tool (Spiff / QuotaPath) for commission. The real question isn't "Interface365 OR HubSpot Sales Hub?" — it's "where in my stack does Interface365 live?"
Interface365 is positioned as the system of record for pipeline, deals, projects, and dashboards. We're not trying to replace your MAP, your engagement tool, or your conversation intel — we're trying to be the thing the rest of your stack reads from and writes to.
The "alongside" pattern (most common for $1M–$50M ARR SaaS)
| Layer | Tool | What it owns |
|---|---|---|
| Marketing automation | HubSpot Marketing / Marketo | Lead capture, nurture, scoring, attribution. Webhook MQLs into Interface365. |
| Sales engagement | Outreach / Salesloft / Apollo | Sequences, dialer, email tracking. Sync activities back to Interface365 via webhook. |
| Pipeline + deal management | Interface365 | Deals, buying committee, quotes, projects, dashboards, forecasting. Source of truth for what's in pipeline. |
| Conversation intelligence | Gong / Chorus | Call recording, transcripts, deal intelligence. Links call to deal in Interface365 via Zapier. |
| Commission management | Spiff / QuotaPath / CaptivateIQ | Reads ARR + deal_type from Interface365, runs the comp plan, pays out. |
| Billing | Stripe / Chargebee / Maxio | deal.won webhook from Interface365 → invoice creation + first-payment dunning. |
This is exactly what walkthrough Step 12 demonstrates — leads in, deal-won out, both via webhook. The CRMs don't fight; they each do what they're best at.
When Interface365 alone is enough (the consolidated stack)
- Seed-to-Series-A SaaS — you have 1–4 AEs, no full RevOps function yet, and don't need (or can't afford) a separate engagement tool. Interface365 + Stripe + Slack is the entire stack. Add Outreach/Gong/Spiff later when you scale.
- Hybrid revenue motion — you sell SaaS plus services (consulting, implementation revenue, custom dev). Generic building blocks mean one tool covers both. SaaS-only CRMs (HubSpot, Pipedrive's SaaS template) struggle with the services side.
- You want to own your data layer — Interface365 has a clean API + webhooks, so you can build whatever's missing. HubSpot's API is fine but its data model is opinionated. Interface365's building blocks are intentionally generic, so you shape it.
When to pick something else outright
- Pure inbound demand-gen orgs — if 90% of your pipeline is inbound from SEO, content, and paid acquisition, HubSpot's bundled Marketing+Sales+Service stack is simpler than wiring 5 best-of-breed tools together.
- Enterprise sales motion ($500K+ ACV, 9-month cycles, 15-person buying committees) — Salesforce + the AppExchange ecosystem is the only mature option. Interface365 is sized for $5K–$200K ACV deals. Above that, our pipeline + custom field model holds, but the integrations (Conga, DocuSign CLM, etc) you'll want don't natively plug in yet.
Bottom line: don't think of Interface365 as competing with HubSpot or Salesforce. Think of it as the pipeline system of record for SaaS teams that want best-of-breed tools at every other layer.
